1. Information We Collect

We collect information necessary to provide fleet management, GPS tracking, telematics, ELD compliance, reporting, customer support, and subscription services.

A. Account and Registration Information

When you create an account and register through our website, we collect the specific information you provide during registration:

  • First Name and Last Name
  • Company Name (optional)
  • Billing Address (Street address, City, Postal Code, Country)
  • Email address
  • Password (stored securely using industry-standard one-way cryptographic hashing)
  • Account preferences and subscription details

Account registration cannot be initiated or completed directly within our mobile applications; accounts must be created beforehand via our official website.

B. Payment Information

Subscription payments are processed securely on our website through our third-party payment processor, Stripe, Inc.

When you initiate a payment or input billing details on our website, you interface directly with Stripe's secure payment infrastructure. GpsFreightOne does not collect, store, process, or retain complete credit card numbers, debit card numbers, CVV/CVC security codes, expiration dates, or bank account credentials. All payment information is submitted directly to Stripe and is processed exclusively by Stripe's PCI-DSS compliant payment infrastructure. Payment data does not pass through and is not stored on GpsFreightOne servers.

Stripe may independently collect and process:

  • Billing information and payment method details
  • Transaction history and metadata
  • IP address and device information for fraud prevention purposes

GpsFreightOne may receive limited billing-related information from Stripe necessary to manage subscriptions and customer accounts, including subscription status, payment status, transaction identifiers, billing email address, billing address, and, where provided by Stripe, the last four digits of a payment card.

C. Vehicle, Asset, and Telematics Data

Our dedicated external hardware GPS tracking and ELD devices installed in vehicles collect:

  • Real-time GPS location, historical route information, speed, and heading
  • Mileage, odometer readings, and ignition status
  • Vehicle Identification Number (VIN) and vehicle registration details
  • Engine diagnostics, fault codes, and driver activity information
  • Device identifiers and cellular network information

D. Mobile Application Device Location Disclosures

Our mobile applications are designed primarily as administrative and fleet management interfaces for fleet operators and drivers. The mobile application itself does not track, log, or collect the background GPS location of the user's smartphone or mobile device for vehicle tracking purposes. All fleet tracking and telematics data displayed within the platform is generated exclusively by dedicated external tracking hardware or ELD devices installed directly into the fleet vehicles.

E. Mobile Application and Website Usage Data

When using our applications or website, we may automatically collect essential diagnostics, analytics, and system data for security, store compliance, and performance tracking using third-party SDKs, primarily Google Firebase (including Firebase Crashlytics and Firebase Cloud Messaging):

  • IP address, browser type, and operating system
  • Device model, unique device identifiers (such as Firebase installation IDs for push notifications), and application version
  • Crash reports, system logs, performance metrics, and login timestamps

F. Cookies and Similar Technologies

We use cookies, local storage, and similar technologies to maintain active login sessions, remember user preferences, improve platform functionality, and enhance overall account security. Users may manage cookie settings through their individual browser options.

2. How We Use Information

  • Provide GPS tracking, fleet management, and ELD compliance functionality
  • Process subscription payments and manage user accounts
  • Generate administrative reports, route history, and analytics for fleet operators
  • Detect, prevent, and mitigate fraud, unauthorized access, and security incidents
  • Respond to customer support requests and troubleshoot technical issues
  • Comply with regulatory, legal, and tax obligations

Use of Aggregated or De-identified Data

We reserve the right to anonymize, aggregate, and de-identify telematics, vehicle, and usage data collected through our Services so that it can no longer reasonably be linked to any individual driver or fleet account. We may use this non-personal, aggregated data for product development, industry benchmarking, trend analysis, and platform optimization.

3. Legal Basis for Processing (GDPR)

For users located in the European Economic Area (EEA), United Kingdom, or similar jurisdictions, we process personal information based on one or more of the following legal grounds:

  • Performance of a contract: To deliver the Services you subscribed to.

A. Service Providers

We partner with trusted vendors to assist in operating our platform under strict confidentiality agreements:

  • Cloud Infrastructure Providers: For secure database hosting and server operations.
  • Cellular Connectivity Providers: To maintain wireless connectivity for hardware trackers.

  • Mapping and Geocoding Providers: We pass anonymized coordinate data to third-party mapping APIs (such as Google Maps) solely to render tracking data visually on maps. We do not intentionally provide account registration information such as names, email addresses, or billing information to mapping providers when rendering map data.   • Analytics and Performance Providers: We use Google Firebase (Crashlytics, Analytics, and Cloud Messaging) to monitor app stability, track performance metrics, and deliver push notifications. B. Legal Requirements

We may disclose information when required to do so by applicable laws, court orders, subpoenas, or official regulatory/government investigations.

C. Business Transfers

If GpsFreightOne is involved in a merger, acquisition, financing, or sale of assets, user account information may be transferred as a part of that commercial transaction.

5. Driver Privacy Notice

GpsFreightOne generally processes location, ELD, and telematics data as a Data Processor on behalf of commercial fleet operators, employers, and account owners (the Data Controllers).
Drivers whose data is captured by our external tracking hardware should direct any privacy inquiries, data access requests, or deletion queries to their respective employer or fleet administrator. The fleet operator determines how driver information is legally collected, utilized, retained, and disclosed.

6. Customer Responsibility

  • Customers are solely responsible for ensuring that they have the legal authority to monitor vehicles, assets, and drivers through the Services.
  • Customers are responsible for providing any notices, disclosures, and obtaining any consents required under applicable federal, state, local, or international laws relating to GPS tracking, telematics monitoring, Electronic Logging Device (ELD) usage, vehicle tracking, asset tracking, and employee monitoring.
  • GpsFreightOne does not independently determine whether a customer has obtained the necessary legal authorization to monitor drivers, vehicles, or assets.

7. Data Retention

We retain information only for as long as necessary to provide active Services, maintain customer accounts, and meet legal or tax obligations.

  • Account Registration Records: Maintained while an account remains active.
  • GPS and Telematics Records: Generally retained for up to 365 days unless an alternative retention window is specified by the customer's subscription or mandated by Department of Transportation (DOT) / ELD regulations.
  • Financial and Transaction Metadata: Retained for longer periods as required by applicable federal, state, and local tax regulations.

8. Data Security

We implement comprehensive technical, administrative, and physical safeguards to protect information from unauthorized access, loss, misuse, alteration, or disclosure. These measures include:

  • Full TLS/HTTPS encryption for all data in transit between apps, web portals, and servers.
  • Strict role-based access controls and secure authentication mechanisms.
  • Continuous network monitoring and deployment within secure cloud infrastructure operated by reputable service providers.

Note: While we apply strict industry-standard security measures, no method of electronic transmission or data storage is 100% secure. We cannot guarantee absolute security.

9. International Data Transfers

Our infrastructure and systems are primarily operated out of the United States. If you access our Services from outside the United States, your data will be transferred to, stored, and processed in the United States or other global jurisdictions where our core service providers operate.

12. Account Deletion and Data Erasure

To comply with mobile application store guidelines (Apple App Store and Google Play), users have the right to request the complete deletion of their account and associated personal registration data.

Upon identity verification, your personal account registration information will be permanently deleted or fully anonymized within thirty (30) days. Certain records may be retained where required by applicable law, tax regulations, accounting obligations, fraud prevention requirements, dispute resolution obligations, or transportation compliance regulations.

13. Third-Party Services

Our platform integrates with third-party software components (such as Stripe and mapping APIs). We are not responsible for the independent privacy practices maintained by these external third-party services.

14. Children's Privacy

Our platform and mobile applications are built exclusively for business-to-business (B2B) commercial fleet management operations. We do not knowingly target or collect personal information from individuals under the age of 18.

15. Changes to This Policy

We may update this Privacy Policy periodically to reflect shifts in technology, store policy, or regulatory standards. Updates become legally effective immediately upon posting to our official website, application portals, or customer dashboard, indicated by the "Last Updated" date at the top of this document.
